Route Manager Routing: Vehicle: Create/Edit/Delete

In Route Manager 2.0, a Vehicle is where you will have a chance to define the unique aspects of your fleet and workforce. The more information you provide, the better Route Manager 2.0 will be able to help you plan your day.

Some points to consider are:
  • What limits do we face when planning routes?
  • What regulations must we follow about Vehicle weight or Driver working time?
  • What schedule does my fleet run on?
  • Do I have Vehicles or Drivers that have certain skills or specializations (Tags) required to serve an Order?
  • Do certain Vehicles cost more to run over others?
Create A Vehicle
To create a Vehicle, click on "Setup".

Next click on "Vehicles" (1), then "+ New Vehicle" (2).
Note: "All Vehicles" will display all Vehicles that have been created along with GPS and Mobile GPS ID's; "Routing Only" will display only Vehicles; "GPS Only" will display only GPS and Mobile GPS Id's.

Tracking Settings can be entered:

1. Enter the Name for this Vehicle.

2. Click the "Edit" button for Color, which will change to Cancel.

3. Pick a Color for the Vehicle.

4. If the account has WorkWave Route Manager 360 (Event Tracking for Proof of Delivery) and Live ETA, and will be utilizing these features (both are needed to use all 3 Customer Notification types) checkmark the boxes.

5. Tracking Options - if account has Mobile GPS (virtual smart device) tracking click on "by mobile app"; if account has physical GPS devices installed in the Vehicles, choose "by physical device".

6. Click the "Create vehicle" button.

Now the Routing Settings tab will appear - click it:

In the Normal Day Settings in the Routing Settings click Edit:

Setting Vehicle Availability:

1. Is the Vehicle, on a Normal Day, available or not available? Choose the correct option for the business needs.

2. Start Location - If Depots have been created, the Depot that the Driver will be leaving from to start their day can be entered here. Check mark the box next to Start Location, and that will enable the ability to make a choice. The left/right arrows can be used to cycle through the Depot names, or the first listed Depot can be clicked on for a scroll menu.

3. End Location - If Depots have been created, the Depot that the Driver should return to at the end of their day can be entered here. Check mark the box next to End Location and that will enable the ability to make a choice. The left/right arrows can be used to cycle through the Depot names, or the first listed Depot can be clicked on for a scroll menu.

4. Working Hours - Set the "Working day start" for the time that the Driver is to start their day, either at their first Order, or to leave the Depot. Set the "Working day end" for the time the Driver is to end their route, or return to the Depot.

5. Check mark the "Flexible Working day start" if the Vehicle does not necessarily need to leave at the exact "Working day start". This gives the planner the option to have the Vehicle leave later if that will create a more optimized and less costly route.

6. Breaks - Click the "+Add new break" button to add a Break. Up to 3 breaks can be entered for each Vehicle. 
Note: Breaks cannot overlap in any way. If a Break will overlap with another, a Warning will be given and the Break will not be added. For example if a Break is created to occur anytime from 10am to 12pm, and a second is created to occur anytime from 12pm to 2pm, this will result in an error. Having those windows in place tells the planner, "The first Break can occur anytime starting at 10am up through and including starting at 12pm." That could result in an overlap, and the planner will not allow it. Please ensure that the an initial Break's possible ending time, does not overlap into another Break's starting time.

Now we can start adding more information about where this Vehicle can serve Orders in Accessible Regions, and if it has any additional Constraints:

7. Accessible Regions - If Regions are built, here the Vehicle can be allowed or disallowed to serve Orders in those Regions. Please be aware, this does not prevent a Vehicle from driving through a Region. If a Region is not check marked, that simply means the Vehicle cannot serve Orders in that Region(the vehicle will still have the ability to travel through the region).
8. Orders - This is where a maximum number of Orders assigned to a Vehicle can be set. If the amount is left as "0", this tells the planner that there is no constraint for this option, and this Vehicle can take as many Orders as possible.

9. Mileage - This is where a maximum, per day mileage can be set for the Vehicle.

10. Driving Hours - This is where a limit can be set for how long this Vehicle can be driven in a day.

11. Working Hours - This is where a maximum limit can be set for the total number of hours this Vehicle can work in a day. Working Hours include drive time, along with Service Time for Orders.

12. Minimum Working Hours - This is where a minimum limit can be set for the Vehicle to work in day. Please note, the planner will try to come as close as possible to the Minimum Working Hours, but they still may not be met 100%. Also be aware, that this can create longer, less optimized routes.


13. Loads - This is where capacity can be set for this Vehicle. There can be up to 5 Loads created. When creating Loads, it's important to remember that this does not create an "if, then" scenario, but rather, "this Vehicle can have up to the maximum" of each and every Load created. The name created for the Load can then be used as a column heading for Order import - the planner will then keep track and ensure a Vehicle never goes over its' Load capacity.
14. Tags - Tags are skills or attributes that makes this Vehicle, or its' Driver, more qualified to serve certain Orders over others. When you create an Order, you'll be able to either require these Tags or ban these Tags. These can be defined to be whatever you need them to be!

Driver skill: Bi-Lingual, Plumbing
Vehicle attribute: Ladder, Bucket Truck

15. Speed - this is where the relative speed of this Vehicle, in relation to the rest of your fleet can be defined. Is the Driver more conservative? Is this a heavy Vehicle that tends to travel slower?


18. Costs - This is where you can define the Cost factors that the planner algorithm will take into account when building routes. This is an incredibly important step. For more information, please see our article about Costs.

19. Notes - These are strictly for internal use and this information does not get passed to Drivers or Orders.

20. Update Normal Day settings - once finished creating the Vehicle, click this to save the information.
When finished creating all the needed Vehicle settings for the business needs, click "Apply Now" in the bottom right corner of the screen to save.

Edit A Vehicle
To edit a Vehicle, click on "Setup".


In Setup, click on Vehicles, then click the Vehicle to be edited (1), then choose which area of the Vehicle to edit, either Tracking Settings (3) or Routing Settings (4).

Follow the steps in the create section of this article to complete any Tracking or Routing settings that need to be completed.

Delete A Vehicle
To delete a Vehicle, go to "Setup".

In Setup, click on Vehicles (1), then click the Vehicle to be edited (2), then choose General settings (3), and lastly click the Delete icon (4).

A warning message will appear and will ask for confirmation of deleting the Vehicle. Click the "X' to cancel, or "Delete" to continue.


There is a two minute timer prior to Apply Now activating automatically.

If an error was made in deleting the chosen Vehicle, in the Setup menu click "Undo" then click "Apply Now". If no error in deleting the chosen Vehicle, just click "Apply Now".
