Create your Vehicles

This is a step-by-step guide on creating your Vehicles. For more information on what Vehicles are, please see this article: What is a Vehicle?

1. Click the Settings gear.

2. Click on the “Vehicles” tab.

3. Click on the “+ Add Vehicle” button.

4. A new window will open up and you can begin customizing your Vehicle. We’ll start by looking at settings for a Normal Day.

5. Tell WorkWave Route Manager about your Vehicle, how you want to visualize it, and if you want to track it. (Event Tracking and GPS Tracking are available as additional WorkWave Route Manager packages.)
A. Vehicle Name: Enter in your Vehicle’s make, model, license plate, name of the Driver - however you want to identify the Vehicle!

B. Pick the color you want the Vehicle to have on the map.

C. If you have WorkWave Route Manager 360 and/or Live ETA check the box Event Tracking to tell Route Manager that you want this Vehicle to be able to use the WorkWave Route Manager Mobile App in order to check in and out of stops. If you've requested the Live ETA feature, and would like this Vehicle to use that feature, checkmark the Live ETA box.  Additionally, if you have WorkWave GPS devices for your Vehicles, you can assign those devices here.


6.  Using the information you entered when creating your Depot, you will be able to select which Depot(s)/Location(s) you want to start and end your Vehicle’s day with.

You can select (None) for your Depot if it does not matter where your Vehicle starts its day, or ends after they leave their last stop.


7. Define the hours of operation and maximums for your Vehicle.

  1) Using the dropdowns, define your Vehicle's "Start Work by" and
      "Finish Work by" hours
  2) Flexible start time: allows Route Manager to decide the best time          for the Vehicle to leave Depot to serve the first Order
  3) Breaks: can build up to 3 (three) breaks per Vehicle
  4) Work up to: set a maximum number of hours (hh:mm) that this 
      Vehicle can work in a day
  5) Drive up to: set a maximum number of hours (hh:mm) that this
      Vehicle can drive in a work day
  6) Max Mileage: set a maximum number of miles that this Vehicle
      can drive per day
  7) Max Orders: set a maximum number of Orders this Vehicle can
      serve in a day

8. Enter your Capacities. Click on the “Capacity” tab. 


Example loads:

- Product that limits space on your Vehicle
- People or Equipment allowed
- Weight able to be supported
- Stops the Vehicle can do in a day


  a) Define the name of your Capacity.
 b) Enter the maximum number of your named Capacity.
Note: The Orders brought into the system will need to also have these Capacities defined. Please see the article What is an Order?

9. If your fleet is made up of unique Vehicles you can define them with Tags.

Tags are special skills or attributes that make your Vehicles or Drivers more uniquely qualified to take some Orders over others. When you create an Order you’ll be able to either require these tags or ban these tags.

Driver Skill: Speaks Spanish
Vehicle attribute: Heavy Truck, Ladder

You can define these to be whatever you need them to be - so fill in your own! Route Manager is flexible in order to handle it.


10. Minimum Requirements  are a good way to tell Route Manager that each Vehicle must have something on it. This makes things fair for all of your Drivers. Add these in to balance out your routes.

11. Another way to define unique attributes about your Vehicles is to tell us the relative speed of each Vehicle. Define this when you have smaller, lighter Vehicles or when this Vehicle goes on overnight runs where traffic is lighter.
12. Define your costs. This is an incredibly important step in creating your fleet and Vehicles. The route planner will optimize according to the costs you set here. Please see our article about Cost.
13. You can also create Exceptions for your Vehicle. An Exception is a day when your normal schedule will not apply. 

  B. Pick when the Exception will occur or re-occur (if necessary).
  C. Pick the day that the Exception applies.

From here, create all of the settings for this Exception and WorkWave Route Manager will apply them automatically when that Exception occurs/reoccurs (start from step 6).

14. Click "Apply Now" to save your changes.
